INTRODUCTION

This privacy notice describes what information (your ‘personal data’) we collect about you, the purposes for which we collect it and how we will handle and use it.

Under the General Data Protection Regulation (GDPR) the Church Charity Trustees of Monmouth Baptist Church are the Data Controller of the personal data we collect and hold about you and are therefore responsible for it. They determine the purposes for which, and the manner in which, any personal data are, or are to be, processed. The contact details are:

INFORMATION ABOUT YOU

Within the Church, we collect contact details to enable the Church to keep in touch with you and provide pastoral support as appropriate. GDPR allows us to process this information as we regard it as being in the Church’s legitimate interest.

We will only include your information if you give us your explicit consent for us to do so. Your contact details will be removed from the database if you are no longer a member of the Church or fellowship – unless you ask to remain as one of our ‘Church friends’.

You can ask for your details to be removed at any time.

This information may be held by the Pastors and Administrators on computers which are password protected and accessed only by them, and in hard copy in a Fellowship Directory produced solely for communication within the Church.

To enable us to provide adequate pastoral support to you and your family, one of the Pastors will also hold contact details and may record information which may be regarded as sensitive. This information will be stored in password protected documents on their personal computer but the password will only be known by the Pastors. This information will NOT be disclosed to anyone else without your consent.

ONLINE CONTACT INFORMATION

The Church also maintains a list of contacts using online mailing which is subscribed to by individual consent for the purposes of awareness of church events of wider interest to the community. We use third party companies which may store your data to carry out our work effectively. These companies are compliant with UK Data Protection Regulations.

WHY WE COLLECT AND PROCESS THIS INFORMATION

In this section we list the different purposes for which we collect and use your personal information as well as the legal grounds under the GDPR on which we rely to justify such data processing:-

This information is in our legitimate interest and to ensure we can contact you (or another nominated adult) in case of an emergency.

To enable Church Trustees and Administrators to effectively carry out their work.

This information is necessary for our legitimate interest.

 


DISCLOSURE OF YOUR INFORMATION

Your information is only shared with others with your consent.

The Church uses third parties to manage your information when booking and when using online mailing to you. These third parties comply with the GDPR.

RETENTION OF DATA

We will keep the personal information covered by this Notice for the periods of time specified in our Data Retention Policy and at the end of the applicable retention periods we will safely and securely delete it.

YOUR RIGHTS IN RELATIONN TO YOUR DATA

You have a number of rights under the GDPR. These include:

  • The right to access your personal data and to obtain certain information about it;

  • The right to rectify the data if it is inaccurate;

  • The right to have your data deleted at any time by request
